The complete guide to document metadata

Every Word, Excel, and PowerPoint file carries hidden information about who created it, when it was modified, and how it was edited. This guide explains what document metadata is, why it matters for your privacy, and how to control it.

What is document metadata?

Document metadata is hidden information stored inside your Word, Excel, and PowerPoint files. Every time you create or edit a document, Microsoft Office automatically records details like your name (as the author), your company name, the date and time the file was created and last modified, the total editing time, the revision number, and even the name of the computer used. This information is stored in the file's internal XML structure — invisible when you open the document normally, but easily readable by anyone who knows where to look. When you share a document via email or upload it to a website, all of this metadata travels with the file.

Why should you care about document metadata?

Document metadata can reveal far more than you intend. A resume sent to a potential employer might show that it was originally created three years ago and edited 47 times. A business proposal could reveal the names of previous authors or reviewers you'd rather keep private. Legal documents might expose internal revision history. In some cases, metadata has even been used in court cases to establish timelines or authorship. For journalists protecting sources, businesses safeguarding trade secrets, or anyone who values privacy, controlling document metadata isn't optional — it's essential. Even innocent metadata like your full name or company can be a privacy risk when sharing files publicly.

What types of metadata do Office documents contain?

Office Open XML documents (DOCX, XLSX, PPTX) store metadata in two main locations. Core properties include the title, subject, keywords, description, author, last modified by, revision number, creation date, and modification date. Extended properties (app.xml) contain the application name and version, company name, total editing time, number of pages/words/slides, and template information. Custom properties can store any additional key-value pairs. Some documents also contain tracked changes, comments with author names and timestamps, and hidden text. Our tool gives you full visibility into all of these properties and lets you view, edit, or remove each one individually.

How to safely share documents without leaking metadata

Before sharing any document externally, always check its metadata. Open the file in our Document Metadata Editor to see exactly what hidden information it contains. Remove or replace your personal name with a generic identifier. Clear the company field if it contains sensitive organizational details. Check the revision history — a high revision count or long editing time can reveal more about your process than you'd like. For maximum privacy, consider creating a fresh copy of the document (which resets some metadata) and then cleaning the remaining properties with our tool. Remember: once you email or upload a file, you can't take back the metadata it contained.

Document metadata and compliance

Many industries have strict requirements about document metadata. Legal professionals must ensure client confidentiality isn't compromised by hidden author information. Healthcare organizations need to verify that patient data doesn't leak through document properties. Government agencies often have policies requiring metadata removal before public release of documents. Our tool helps you meet these compliance requirements by giving you complete control over every metadata field. You can audit documents before sharing, create clean versions for distribution, and maintain a clear record of what was removed.

FAQ

Common questions

Which formats are supported?

DOCX (Word), XLSX (Excel), and PPTX (PowerPoint) — the modern Office Open XML formats.

Can I remove the author name?

Yes. Clear any field to remove it, or set a new value.

Will this break my document?

No. We only modify the metadata XML — your content stays intact.

What about old .doc/.xls/.ppt files?

Legacy OLE2 formats are not supported for editing. Convert to DOCX/XLSX/PPTX first.
